Participation Conditions

1.  Exhibition Area
The Technical Exhibition is located on the first floor in the “Stadthalle” of the Congress Centre Dusseldorf (CCD South). In total 853 sqm of exhibition space is available in the “Stadthalle”. The spatial location of booths (areas A to C) is described in the floorplan.

2.  Booth Design
The Organizer is the Maschinenbau Institut GmbH. For registration please contact VDMA Pumps + Systems Association. The booth-sizes have 6, 8, 9, 12 or 16 sqm. A basic shell scheme for every exhibitor will be provided and is mandatory (see the included services under 3. “Scope of Services”). Additional services can be ordered from the local stand builder. Detailed information is prepared in the Exhibitor’s Manual.

Important: Please order booth material AFTER receiving the order confirmation of your booth!

3.  Scope of Services
The organizer will provide the following services:

  • Booth Area
  • One participation card free of charge for the International Rotating Equipment Conference
  • Shell scheme with back and side walls (height: 2380 mm; effective depth: 2325mm)
  • Fascia board with an inscription of the company name in black (2000 x 300 mm)
  • Standard carpet
  • Ceiling rails for spot lights – 1 spot for 2 sqm each
  • 1 Mains extension for alternating current (230V; 50Hz general power outlet, 3-pin that can take a maximum load of 3 kW)
  • Daily cleaning after both the construction of the booth and the first day
  • Catering for the exhibitors (coffee breaks, lunch and refreshments)
  • Additional tickets for the International Rotating Equipment Conference are liable to pay costs
  • Exhibitors’ list
  • In the run-up to the conference, companies participating in the Technical Exhibition may put their company logo free of charge on the website of the International Rotating Equipment Conference – Pumps, Compressors and Vacuum Technology (www.introequipcon.com)

4.  Registration
Binding registration must be made prior to July 31, 2016 by using the online registration form (starting 16 December 2015). Contact for registration: VDMA Pumps + Systems Association. Please consider that the allocation of the booths follows first come-first served principle.

5.  Exhibition Fee
One-off payment after receipt of the invoice. All fees excl. VAT.

Booth size        6 m2:                       EUR        2.500 -

Booth size      12 m2:                       EUR        3.500 -
Booth size      16 m2:                       EUR        4.000 -

Important: Costs for additional services of the stand builder are not included in this fee. Any such additional services have to be ordered directly between the exhibitors and the subcontractor  or stand builder.

6.  Payment conditions (for Exhibition Space)
Payment by invoice: After receipt of the invoice by the organizer, its payment is required within 14 days. Only after receipt of payment at the organizers' office, the reservation will be confirmed.

If cancelling the booth up to and including July 31, 2016 the cancellation charge amounts to 50% of the booth fee. After this time no refunds are possible, unless the exhibitor proves a lower damage.

7.  Time Schedule for Booth Construction and Dismantling
The standbuilder will be in the exhibition hall in case of any questions.

Booth Construction: Tuesday, September 13, 2016 from 14.00 - 18.00 h
Dismantling:            Thursday, September 15, 2016 immediately after closing of the conference from 16.00 to 18.00 h

8. Further regulations
Exhibits of the exhibitors are allowed. Water and compressed air supply cannot be provided. Please take this and the maximum power available into consideration when selecting your exhibits.

Booth tenants have to accept and fully comply with the Technical Guidelines of DCSE (part of Exhibitors’ Manual).

The organizer – Maschinenbau-Institut GmbH – as well as the promotors – the VDMA Pumps + Systems Association, the VDMA Compressors, Compressed Air and Vacuum Technology Association and the European Forum for Reciprocating Compressors (EFRC) do not accept any responsibility for damages caused by third parties or for any loss of property in the exhibition booths or in the storage area. Booth tenants are responsible and liable for any damage to the conference building caused by booth tenants or their representatives or companies contracted by the booth tenants. It is not allowed to cause any high level noise in the exhibition area, e.g. by machinery or means of presentation.

Maschinenbau-Institut GmbH as the organizer reserves the right to make the selection of exhibitors and final booth allocation and reserves the right to carry out alterations to the floor plan, if needed.

9. Venue/applicable law
The venue for all disputes arising out of this contract between the Organizer and the Contracting Party shall be the seat of the Organizer, Frankfurt am Main, Germany, provided that the Contracting Party is a business person, a legal person under public law or a special fund governed by public law.

The law applicable shall be the law of Germany.
